Zoho Books at a glance

Zoho Books is cloud accounting software used through a web browser and mobile apps, with a Windows desktop app also available. Your data is stored online, so you can work from any device with an internet connection.

For Indian businesses it supports GST invoicing and returns, IRN-validated e-invoices, e-way bills, bank feeds and reconciliation, and customer and vendor portals. It connects with payment gateways and with other Zoho apps such as Zoho Payroll and Zoho Inventory.

It is sold as a subscription, with plans priced by features, users and transaction volumes, billed monthly or annually. There is also a free plan for businesses within a revenue limit. Zoho changes plan details from time to time, so check the current pricing page before you decide.

TallyPrime at a glance

TallyPrime is desktop accounting software installed on your own computers. It is known for fast keyboard-based data entry, strong inventory and manufacturing features, and wide familiarity among Indian accountants and auditors. Many businesses find trained staff easily because so many people have learned accounting on Tally.

It comes in two editions: Silver for a single PC and Gold for multi-user access across several computers. You can buy a lifetime (perpetual) licence with a one-time payment, or choose a rental plan. Tally Software Services (TSS) adds product upgrades and connected services, including remote access through TallyPrime Cloud Access and browser access options.

As with Zoho, check current prices and plan terms on Tally's own website, since they change periodically.

Access and collaboration

This is the clearest difference between the two. Zoho Books is built for the cloud, so owners, staff and an outside accountant can work on the same live books from different places without copying data files. Each person gets their own login and role, and changes appear for everyone straight away.

TallyPrime is built around a local installation. It works well when the accounts team sits in one office, and it does not depend on a steady internet connection for daily entries. Remote access is available through TSS and TallyPrime Cloud Access, but it is an added layer rather than the default way of working.

If your accountant is outside the business, or the founder wants to check receivables from a phone, Zoho Books usually fits more naturally. If the team works together in one location with patchy internet, Tally's offline model can be an advantage.

GST and statutory compliance

Both products cover the core GST needs of Indian businesses. Both generate e-invoices and e-way bills, and both let you upload GSTR-1 data to the GST portal and reconcile purchases with GSTR-2B from inside the software. Tally calls this Connected GST; in Zoho Books it is part of the GST filing module.

Both also address the audit trail rule. For financial years starting on or after 1 April 2023, companies using accounting software must use software that keeps an edit log of every change, which cannot be disabled. TallyPrime provides this through its Edit Log feature, and Zoho Books through its audit trail. In both cases, confirm that the edition or plan you use includes it and that it is switched on.

TDS features are available in both, though the depth varies. Test your specific cases, such as lower deduction certificates or multiple TANs, before you commit.

Inventory, manufacturing and data entry

Tally is strong where stock is complex. Multiple godowns, batches, bills of materials, manufacturing journals and detailed stock valuation are all well established in TallyPrime. Experienced operators can post a high volume of vouchers quickly using the keyboard alone.

Zoho Books handles items, stock tracking and reorder alerts well for trading and service businesses. For more detailed warehouse and order management, Zoho offers Zoho Inventory, which works alongside Zoho Books.

If you run a manufacturing unit or a distribution business with many stock locations, test your actual workflows in both products before choosing. For service businesses, agencies and startups with simple inventory, either will cope, and the decision usually comes down to access and collaboration.

Which should you choose?

Neither product is better for every business. The right choice depends on how your team works, where your accountant sits and how complex your stock is. Many businesses move from Tally to Zoho Books as they add remote staff or outside advisers, while others stay on Tally for years because it suits their operations. Before deciding, list your five most frequent tasks and try each one in both products using a trial or demo.

  • Choose Zoho Books if you want real-time access from any device and remote work with your accountant
  • Choose Zoho Books if you collect payments online and want them to flow into the books
  • Choose TallyPrime if you run complex inventory, manufacturing or multiple godowns
  • Choose TallyPrime if your team works from one office and prefers offline, keyboard-led entry
  • Either works for GST, e-invoicing and e-way bills if set up correctly

If you decide to switch

Moving from Tally to Zoho Books is common, and Zoho publishes a migration guide for it. Masters, opening balances and transactions can be exported from Tally and imported into Zoho Books. The safest approach is to switch at a clean period end, ideally the start of a financial year, using the trial balance and stock summary as at the previous day.

Run both systems side by side for a short period if you can, and do not delete the old Tally data. Companies must keep books of account for at least eight financial years.

  • Pick a period end as your cut-over date
  • Export the trial balance and stock summary as at that date
  • Import chart of accounts, customers, vendors and items first
  • Enter opening balances and reconcile them to Tally
  • Check GST settings and invoice numbering before the first invoice
  • Keep a full backup of your Tally data
