Zoho Inventory for Traders and Distributors: Stock, GST and Zoho Books in One Flow

By Vaisakh Vigneswaran, M.Com · Published 18 Oct 2026 · Updated 18 Oct 2026

How Indian traders and distributors can use Zoho Inventory with Zoho Books: warehouses, batches, purchase and sales orders, GST, e-way bills, and a single set of books.

Why traders outgrow spreadsheets

For a trading or distribution business, stock is usually the biggest asset on the balance sheet and the hardest to keep right. When stock lives in a spreadsheet and accounts live somewhere else, the two drift apart: a sale is billed but not deducted from stock, a purchase is received but not entered, and the closing stock figure at year end becomes a guess.

Zoho Inventory is Zoho's order and stock management app. Connected to Zoho Books, it lets the warehouse team manage items and orders while the accounts team works from the same transactions, without entering anything twice.

What Zoho Inventory adds

Zoho Books can track basic item quantities on its own. Zoho Inventory is built for businesses that hold real stock across locations and move it through orders. The features that matter most to traders and distributors are:

  • Multiple warehouses, with transfer orders to move stock between them
  • Batch and expiry tracking, and serial numbers for high-value items
  • Purchase orders that move through received and billed stages, and convert into bills
  • Sales orders, packages and shipments tracked from packed to delivered
  • Price lists for specific customers, composite items for kits and bundles, and barcode scanning

GST and e-way bills

For India, Zoho Inventory records GSTIN for your customers and vendors, HSN codes for goods and SAC codes for services, and default intrastate and interstate tax settings that can be overridden for individual items. Delivery challans are supported for stock that moves without a sale, such as branch transfers or goods sent on approval.

E-way bills can be generated from Zoho Inventory once you register Zoho Corporation as your GST Suvidha Provider (GSP) on the e-way bill portal and connect those credentials in Inventory. Invoices, credit notes and delivery challans can then be selected and their e-way bills generated from one screen, with validity details updated automatically. If you prefer, you can export the data as a JSON file and upload it to the portal in bulk instead.

Whether an e-way bill is needed, and for what value of goods, depends on the GST rules and your state, so confirm the requirement for each type of movement.

How it connects to Zoho Books

The integration is switched on from Zoho Books, under Settings, Integrations, Zoho Inventory, and requires an existing Zoho Inventory account. Once connected, items, contacts, sales orders, purchase orders, invoices and bills sync in both directions. A sales or purchase transaction posted in Inventory appears in Books, and a sale started in Books can be followed through to delivery in Inventory.

The practical result is one stock figure and one set of books. Your accountant reconciles bank accounts, files GST returns and closes the month in Zoho Books, while the stock valuation behind those numbers comes from the same transactions the warehouse team recorded.

A typical trading flow

In a connected setup, a day in a distribution business looks like this:

  • Raise a purchase order to the supplier and receive the goods into the right warehouse and batch
  • Convert the purchase order into a bill, which flows to Zoho Books for payment and input tax credit
  • Take a sales order, pick and pack it, and invoice the customer with the correct GST
  • Generate the e-way bill for the shipment and track it to delivery
  • Watch stock levels and reorder before fast-moving items run out

Before you switch

Plan the move rather than switching mid-month. Clean up your item list first, with consistent names, units and HSN codes, and decide how warehouses and batches will be named. Take an opening stock count with quantities and values on the date you go live, and agree it with your books. If you are moving from Tally, migrate the accounting data to Zoho Books first, then connect Inventory and load opening stock.
